This privacy policy explains how AFL Masters Vic Country (“we”, “us”, “our”) collects, uses, stores and shares information when you use the Victorian Country AFL Masters website at viccountrymasters.com and the related club websites we operate.

1. Information we collect

1.1 Website usage data

When you visit our websites we may collect standard technical information such as your IP address, browser type, device type, pages visited, and the date and time of your visit. This information is used to operate the site, measure usage, diagnose problems, and improve performance.

1.2 Information you provide directly

If you contact us, register for events, or are appointed as a club administrator, we collect the contact details you provide (such as name and email address) and any information needed to administer your role.

1.3 Facebook Page data

The league and our member clubs may choose to connect a Facebook Page to this website. When a Page is connected we receive a limited set of data from Meta, including:

  • The Facebook Page's public posts, captions, images and links;
  • Public engagement metadata associated with those posts (for example, reaction, comment and share counts);
  • A Facebook Page access token that allows the website to read posts from, and (where authorised) publish posts to, the connected Page.

We do not collect or store information about individual Facebook users who like, comment on, or interact with the Page.

2. How Facebook Page posts are displayed

Where a club or the league has connected a Facebook Page, recent public posts from that Page may be displayed on the corresponding club or league website—for example, on the homepage news feed. Only public posts are displayed. Posts are fetched periodically from the Meta Graph API and cached on our servers for short periods to reduce load on Meta's services and improve site performance.

3. Approved posting to connected Facebook Pages

Authorised league administrators may use the website's admin area to draft, review and approve posts that are then published to the connected league Facebook Page. In future, club administrators may be granted the same capability for their own club Page. Posts are only published to a Page after explicit approval by an authorised administrator within our admin interface.

4. Secure storage of Facebook Page access tokens

Facebook Page access tokens are sensitive credentials. We store them in Microsoft Azure Key Vault, a managed secrets service that encrypts data at rest and in transit and is accessed only by our backend application using managed Azure identity. Tokens are never exposed to browsers or visible to website visitors. Tokens are removed from Azure Key Vault when an administrator disconnects the Facebook Page from the website.

5. No sale of Facebook data

We do not sell, rent or trade any data obtained from Facebook or Meta to any third party. Facebook Page data is used solely to operate the integration described in this policy.

6. Data sharing with service providers

We rely on a small number of trusted service providers to host and operate the website. These providers process data only on our instructions:

  • Microsoft Azure— hosts the website application, databases, secrets (Azure Key Vault) and content delivery infrastructure;
  • Microsoft 365 / SharePoint— stores content authored by the league and clubs, including news articles, documents, photo galleries and club configuration;
  • Meta Platforms (Facebook)— the source of public Facebook Page posts displayed on the websites and the destination of any approved posts published from this website.

We do not transfer personal information to other third parties except where required by law.

7. Data retention

We retain information only for as long as is necessary for the purposes described above:

  • Cached Facebook Page posts are retained for short periods (typically a few minutes) to reduce calls to Meta's API and are refreshed automatically;
  • Facebook Page access tokens are retained while the integration is active and are deleted when an administrator disconnects the Page;
  • Website usage logs are retained for a reasonable diagnostic period and then deleted or aggregated;
  • Information you provide directly is kept while it is relevant to your role or request.

8. Your rights

You may request access to, correction of, or deletion of personal information we hold about you. You may also request that a connected Facebook Page's data be removed from our systems—see our Facebook Data Deletion page for the specific process. We will respond to verified requests within a reasonable timeframe.

9. Cookies

The website uses a small number of cookies that are strictly necessary for site operation, including authentication for administrators. We do not use third-party advertising or tracking cookies.

10. Changes to this policy

We may update this privacy policy from time to time. The most recent version will always be available at this URL with an updated “Last updated” date.
